Terms & Conditions

 

Booking


Bookings can be made via our online booking system on the website, telephone, or email bookings.

Payment


The whole cost of the booking is taken at that time of booking via our cheque, bank transfer or payment in cash.
Payment is regarded as acceptance of the booking conditions. No booking will be fully confirmed until payment is received. You will be contacted if payment is declined or the camp is full at the time of booking.

Childcare Vouchers


We do not currently accept childcare voucher but will be looking into these for future camps. We do accept summer splash vouchers. If you require any information about this service please do not hesitate to contact our team. We do however offer free vouchers to schools who help us reach our clients.

Changes and Cancellations


If you wish to change the dates of your camp booking we can do this within the same holiday season (e.g. Summer) free of charge, subject to availability - please contact us direct.

Cancellations for camps paid for in full before the camp or club must be received in writing with supporting medical evidence if relevant. We, on APS CAMPS discretion, may give you a voucher to be used on future camp days if days are missed and reported to the manager.  Please contact us directly.

In exceptional circumstances, APS CAMPS may have to cancel particular dates. In this event, we will inform you at the earliest time and offer a suitable alternative if one is available, offer a place on an alternative week or refund all monies paid for the dates cancelled, if preferred.

Organisational funded bookings

 

Please note that with Apscamps work with so many providers and organisations to provide children with the opportunity to participate on our camps and club provisions - please see our terms and conditions below.

* Once an Enhanced ratio booking has been made by an Organisation (school, sporting organisation, social services, KAH, or any agencies to place a child/children with us) the booking time, date or price cannot be changed, amended or refunded. This is due to administration costs and because additional 1-1 staff are hired to provide the 1-1 care for the participant.

* When a booking has been made by an Organisation (school, sporting organisation, social services, KAH, or any agencies to place a child/children with us) the booking time, date or price cannot be changed, amended or refunded. This is due to administration costs and the staffing ratio, which is implemented on the basis of the confirmed booking numbers prior to the start of the camp and in line with Ofsted guidelines for the staff/child ratio. The Organisation will be invoiced for this child/children’s place(s) as agreed prior to start of the course regardless of attendance, due to the provisions put in place for them to attend. Apscamps will, where possible, let the Organisation know should a child/children continually fail to attend, although ultimately this is the responsibility of the Organisation.

Personal Property

APS CAMPS does not accept responsibility and/or liability for any loss or damage howsoever caused to personal property or possessions brought onto the camps. Parents are reminded not to send children to camps with any valuable possessions and they do so at their own risk - for example, phones or money.

What to bring to camps

APS CAMPS is set up to provide children with the opportunity to participate on multi sports, football specific activities and arts and crafts and should wear appropriate clothing for these activities. 
 
Waiting Lists

 

If the event you require is fully booked you will be placed on a waiting list. In the event of cancellations we will contact you then your child will be booked onto the event.

Available Dates and Activities


Information contained within this website is correct at time of update. Changes may occur and APS CAMPS will endeavor to inform parents as quickly as possible. Academy programmes are subject to change in the event of unsuitable weather or other circumstances beyond our control.

Exclusions


We reserve the right to exclude or refuse any person at any time prior to and during the event at APS CAMPS if, in our opinion, that person is incompatible with the general wellbeing of the event, other children or at risk to staff or the school property. If a child is removed from the course the parents must pick up the children within a reasonable time (30 minutes) and no refund will be given.

Children will also be removed from the camp for a number of reasons such as violence, bullying, swearing or threatening behaviour towards other children, staff, and any other persons working on the camp e.g 1-1 carers. This is a non exhaustive list and APS CAMPS reserves the right to exclude or remove participants at any time. APS CAMPS decision is final.

Insurance


All children and staff in our care are covered by our Public Liability Insurance and a copy of our certificate can be seen at the site of every camp.

Medication and First Aid


In the event of an accident, first aid will be administered to children in our care, and the emergency services will be called if necessary, unless advised to the contrary.

We keep a record of all medication administered to children whilst at APS CAMPS classes and camps. Please inform us if medication is required to be given when booking through the Special Requirements section on the booking form. By completing this section you are allowing our staff to administer the medication. If you do not want our staff to administer the medication please indicate so in the on the booking form.

Photography


Please be aware that we occasionally take photographs of children on camp for inclusion in promotional material. Children may also like to take photographs of each other to remember their time at camp. Please advise APS CAMPS at the time of booking if you have any objections. APS CAMPS will only use pictures or videos for the website or promotional activities within APS CAMPS.

APS CAMPS is an equal opportunities employer and welcomes all children regardless of their gender, ability, race or religion. Each child attending our events is of equal value and is entitled to equal access of opportunity. We operate a zero tolerance policy to discrimination or bullying of any kind.

Special Needs


We will try not to exclude any child because of a special need. If your child has a special need and requires extra assistance it is required that parents discuss this with our team at the time of booking. We also help with funding for 1-1 care on our holiday provisions. Please speak to the manager on 07944 296 721.

Data Protection


We will use your details to mail and/or email you with future information about our services; you may opt out of our mailing list when booking, or afterwards at any stage. APS CAMPS will not allow outside companies to see or use any email or home addresses and if a external source is using this information for personal use this is in breach of the data protection act and will be removed from APS CAMP.
